Position Overview
The Host is responsible for ensuring a warm, organised, and seamless experience for retreat organisers and guests.
This role combines guest communication, retreat preparation, on-site hosting, and operational coordination. The Host acts as the primary point of contact during retreats and plays a key role in maintaining the atmosphere, standards, and daily flow of the centre.
Key Responsibilities
Guest Communication
Respond to general guest and facilitator emails in a timely and professional manner
Provide clear pre-arrival information including logistics, travel directions, check-in times, packing guidance, and dietary forms
Maintain ongoing communication with retreat organisers before and during their stay
Coordinate arrivals, transfers, and check-in details
Assist with group communication channels where required
Retreat Planning and Preparation
Support the planning of upcoming retreats in coordination with organisers and internal teams
Prepare room allocations and confirm occupancy details
Coordinate retreat schedules with kitchen and housekeeping teams
Draft and distribute internal event briefs for staff
Prepare welcome materials, signage, and daily programme displays
Ensure venue spaces are set up according to facilitator requirements
Confirm audio-visual, furniture, and layout needs in advance
On-Site Hosting
Welcome guests and facilitators upon arrival
Conduct property tours and provide orientation
Act as the main on-site contact throughout the retreat
Support the daily flow of activities and anticipate logistical needs
